Privacy Policy
What we collect when you use The Village Record and Ask the Village, why, who else handles it, how long we keep it, and your choices. Effective October 25, 2026.
What we collect
Account: your email address and, if you give them, your name, mailing address, and for Business plans your employer or organization and home village.
Data: queries, responses, files.
Billing: your plan, payments and credit purchases. Card details are collected and stored by Stripe, not by us.
Email alerts: your address, the topics you chose, and when you subscribed, confirmed or unsubscribed.
Use of the site: pages visited and general device information through Google Analytics and the Meta Pixel (Facebook), and basic logs needed to run and secure the service.
How we use it
To run the service: answer questions, keep your account and plan, meter usage against your allowance, send the emails you asked for and account notices, and keep the service secure. We never release information that identifies you. Information that cannot identify anyone may be used for research and to improve the service, within and across the communities we serve. We do not sell your information, and we do not use data to train AI models.
Who else handles it
Amazon Web Services hosts our databases and files, runs the AI models that write answers (through Amazon Bedrock, which does not use your content to train models), signs you in (Amazon Cognito) and sends our email (Amazon SES). The meeting records themselves are written and checked from public documents with AI models from Anthropic (Claude) and OpenAI, through their own services; they receive public records, not your account details or your questions, and do not use that data to train their models. Stripe handles payments. Meeting videos are listed through YouTube API Services and play in YouTube's player, which Google runs under the Google Privacy Policy; we receive nothing about you from YouTube. Amazon Web Services also hosts the website (Amazon S3 and CloudFront). When an answer needs the web, the search words are sent to a web search service (Brave Search), and legal research queries go to CourtListener. Google Analytics measures site visits. Each handles data under its own terms and only for these purposes.
How long we keep it
Account details: while your account is open, and deleted within 30 days after you ask us to close it, except billing records we must keep for tax and accounting (up to seven years). Uploaded files: deleted automatically after 90 days. Other usage data is kept for up to 3 years.
Your choices
You can update your details and email topics on your account page, delete conversations at any time, unsubscribe from any email with its link, and cancel your plan. To see, correct, export or delete your information, or to close your account, write to hello@villagerecord.org; we answer within 30 days.
Cookies and browser storage
We keep your sign-in in your browser's storage so you stay signed in. Google Analytics and the Meta Pixel set cookies to count visits and measure our ads; you can block them in your browser without losing any feature.
Security
Information travels encrypted, is stored with access limited to what the service needs, and payments never touch our servers. No system is perfectly secure; if a breach affects you, we will tell you as the law requires.
Children
The service is not directed to children under 13, and accounts are for people 18 and older.
Changes and contact
We will post any change here and, if it is material, tell you by email. Questions: hello@villagerecord.org. Braso Ventures, LLC dba The Village Record Project.
